1) Scope
This policy covers:
- the Ray desktop software;
- Ray-related licensing and activation services;
- billing and transaction data processed via the payment processor used by the checkout channel (Stripe or Paddle);
- Ray support communications.
2) Data we process
A) Billing and account data (via Stripe or Paddle, depending on checkout channel)
- name and billing contact details;
- company name and billing address;
- order and subscription IDs;
- payment status, tax/VAT and invoice records.
Note: AeroArt does not receive full payment card details. Stripe or Paddle processes payment details for checkout and recurring billing flows, depending on checkout channel.
B) Licensing and activation data
- license key or license reference;
- machine fingerprint/device identifier for seat control;
- seat label (if provided);
- licensing state and token metadata (for example: activation/check-in timestamps, expiry, grace status);
- service diagnostics and redacted error context.
C) Ray project data
Ray is designed to process engineering/project files locally on customer devices.
By default, Ray does not upload your measurement datasets to AeroArt for normal product operation.
If you contact support, you may choose to share files/logs manually for troubleshooting.
D) Optional diagnostics/telemetry
Ray licensing telemetry is designed to be redacted and can be configured per deployment. In standard deployments it may be disabled by default, but if enabled it may send redacted licensing events for reliability and security monitoring.
3) Why we process data
We process data to:
- provide, activate, secure, and maintain Ray;
- manage subscriptions, renewals, refunds, and invoices;
- enforce license/seat limits and prevent abuse/fraud;
- provide support and resolve technical issues;
- comply with legal, tax, and accounting obligations.
4) Legal bases (where applicable)
Depending on jurisdiction, we rely on:
- contract performance;
- legitimate interests (security, fraud prevention, service operations);
- legal obligations;
- consent, where required.
5) Sharing data
We may share relevant data with:
- Stripe or Paddle (payments, billing, tax handling, and refund operations, depending on checkout channel);
- Keygen (license, machine, and seat records used for activation control);
- infrastructure and hosting providers used for licensing/service operations;
- professional advisers or authorities where legally required.
We do not sell personal data.
6) International transfers
If data is transferred across borders, we use appropriate safeguards required by applicable law.
7) Retention
We retain data only as long as needed for the purposes above, including legal, accounting, tax, fraud prevention, and dispute-resolution obligations.
Retention periods vary by data type and legal requirements.
8) Security
We use reasonable technical and organizational safeguards to protect personal data. No system is completely secure, so we cannot guarantee absolute security.
